YPP - Meeting
Date: Monday May 13, 2002
What: YPP Representatives Meeting
In Attendance:
Joe Formaggio (convening), Veronique Boisvert, George Fleming,
Ben Kilminster, Gudrid Moortgat-Pick, Wolfgang Walkowiak.
Meeting Minutes:
recorded by
Joe Formaggio
The meeting:
- Reports from Local Chapters:
- SLAC:
Wolfgang Walkowiak
is current representative at SLAC. Very active
in terms of activities planned and executed. A meeting was
scheduled on 02/19/2002 with J. Dorfan on SLAC funding, with ~40
students in attendence. Additional meeting on 03/26/02 by
Education and Outreach Manager at SLAC for an overview of existing
programs. Two programs that were proposed were the Cloud
Chamber project with local schools and the Three Questions
project with local high schools. There was also a YPP@SLAC
meeting on April 19th with Neil Calder, Director of SLAC's
Office of Communications, about "How to Get the Press Your Physics
Deserves". Upcoming meetings and projects include a
lecture on e+e- colliders organized by the YPP and hosted by M.
Peskin, a potential R&D workshop, and a linear collider retreat.
YPP was also mentioned in the SLAC publication Interaction Point
(yeay!). Currently, about 80 members participate in YPP at SLAC.
More details can be found in Wolfgangs's
presentation.
- Fermilab:
Representative now is Ben
Kilminster. He reported of possible
interaction with the computing and particle physics division for a
possible, research-oriented project. Meetings planned in the near
future.
- DESY:
Gudrid Moortgat-Pick
is the representative. Current plans are
underway for web page design and also increased interaction with
the CERN chapter in the very near future.
- CERN:
Veronique Boisvert
has just moved to CERN and will hold an
introductory meeting to see what kind of participation will be
expected from CERN. One question that was raised was how to
involve people from a variety of experiments present with CERN
itself.
- U. Washington:
Joe Formaggio
is rep. Will move officially to
Seattle in July. Possibility of interaction with WALTA (high
school Cosmic Ray project in West Coast).
- Ohio State:
George Fleming
is representative. Will be moving to JLAB
soon and looking for someone to take over YPP at Ohio State.
- Elections:
New YPP chair is elected (Joe Formaggio). Many, many thanks to Florencia
for all her hard work! The group also feel that Sam Zeller and Jocelyn Monroe
also have worked extremely hard as Secretary and Treasurer and will ask if
they wish to continue with their positions. Discussion followed as to how to
follow nominations for executive positions. It was agreed that any active YPP
member may be nominated to the Exec council, but the nomination was to come
from the YPP reps. The YPP reps also vote for those positions. We ask that
any potential candidates be brought forward by the local YPP reps so that
voting may commence soon. A decision as to how many positions will be needed
for the executive council will be made at the next meeting.
Wolfgang points out that the above interpretation w.r.t. the additional
members of the Exec Committee is not valid! He refers to the first paragraph
of Article I of the YPP bylaws which clearly states that the additional members
of the executive committee must be representatives of local chapters, and that
this is intentional to ensure regional chapter representation in the Exec
Committee. He points out that you may argue whether this applies to the
Officers as well, since the phrasing in the text is ambigious. With respect
to the Officers the interpretation was made at the meeting that they don't
have to necessarily be reps for local chapters. (Which allows YPP to ask
Jocelyn and Sam to continue for example.). He urges Joe to please make sure
to consider this when he issues the call for nominations.
- Meetings:
It was agreed that it is a shame that the project leaders were not
informed of the call. Ben will modify the email list so that one main list
exists for reps, executives, and project leaders, as well as for reps alone.
That way, one list can be used for general meetings, but election meetings can
be kept separate.
Wolfgang points out that the discussion pertained to the Working Groups --
which again are defined in the YPP Charter. The WG leaders should be invited
to any rep body meeting (without voting power though).
- DPF:
The DPF executive council has asked for YPP to give a small summary of our
activities -- to be given by 1 or 2 people (J. Formaggio + G. Fleming/S.
Zeller?). The DPF meeting would also be a good opportunity for YPP members
present at the meeting to get together. A coffee break is currently being
organized by Andrew Green and George Fleming. The meeting will also be a
motivational reminder for the letter-writing campaign currently planned by
DPF.
Again, special thanks to Florencia for all her help as YPP chair!
