In Attendance:
The meeting started at 9:10am PST. Attending were Veronique Boisvert (CERN), Ben Kilminster (FNAL), Joe Formaggio (UW) and Chris Potter (SLAC).
Meeting Minutes: recorded by Chris Potter
The Meeting:
Joe indicates that we need to revitalize the WGs. What are the goals of each? Who are the personnel?
Chris (also YPP Ambassador to the DPF Committee on Outreach to Government) offers to help coordinate with Geroge Fleming (current WG leader). Issues: HEP funding, Visas, Structures of interface between HEP and Governnent. (Veronique, Chirs, Joe, Ben) Joe suggests that we try to identify people within our local chapters to participate in the WG. Ben suggests that each chapter issue a brief report on their understanding of the interface with government.
John Krane, the current WG leader, has indicated he will step down. Issues: Remote accelerator and detector operation, lab organization in international context, problems with remote advisors. (Veronique)
Current WG leader is Andrew Green. Other people who have been involved in local chapters are Jodi Wittlin (Ambassador to DPF Outreach Committee), Abi Soffer, Linda Coney. (All)
Current WG leader is Morgan Wascko.
Veronique suggests that a WG to coordinate YPP conference participation would be useful. Chris agrees, indicating that there is a lot of activity in this area, with not much communication between the people active in YPP. Veronique nominates Bonnie Fleming for WG leader, but points out that we need approval from the Representative Body for a new WG (see Bylaws and Charter).
-->ACTION: Chris will coordinate with George on OG WG. Veronique will coordinate with John on Globalization WG. Joe will query Andrew and Morgan about Outreach and Young Physicists Issues WGs. Joe will send an email to the global ypp list soliciting volunteers for leading the WGs after receiving input from Chris and Veronique. Somebody (Veronique?) will write a proposal for the Conference Connection WG to be submitted for approval by the Represenative Body.
Ben had many responses to his mail sent to the global list soliciting participation. There will be a 'plenary' session for the YPP on Monday. The intent is to issue a staus report on the world physics situation and, possibly, chapter reports. Chris cautions that the report should not endorse any particular options, though opinions and discussions ought to be free. Veronique observes that the YPP did exactly that at Snowmass.
----------Ben supplements this in a followup e-mail on 14 March-----------
There are two phases to the YPP participation. A YPP meeting with reports
from labs/countries on their physics programs, followed by discussion.
That is on Monday. The 'plenary' will most likely be on Friday as part of
the conclusions of the conference, and will be a summary of what was
discussed on Monday.
-----------------------End supplement-------------------------------------
-->ACTION: Ben will solicit advice from YPP representatives on how to structure the Monday meeting, and how it will tie in to a plenary.
Chris reports that he attended one organizational meeting and spoke briefly about the YPP and our interest in involvement: broader particiaption of young people and moderate financial support for them. Uwe Bratzler, the organizer, spoke very favorably about YPP at the meeting. Richard Jacobsen from YPP@CERN has also been involved.
There will be a conference in October held in Mexico which "matches the demographics" of the YPP. The conference is a joint Canadian-Mexican-US venture, with sponsorship from the APS. Joe will keep us posted.
Reports have been received from SLAC, CERN and UW. Reports are expected from FNAL (Ben), DESY (Gudrid?) and CESR (Mark?). Chapters expected to close are Florida State, U. Chicago, U. Pittsburgh. Chapters whose status is unknown are BNL and Boston U. New chapters expected: KEK. (Joe) The report will include chapter reports as appendices.
-->ACTION: Ben will write the FNAL report. Veronique will query CESR chapter. Joe will query Gudi about DESY.
Jocelyn Monroe, Treasurer and author of the grant proposal, is not in attendance. NTR.
Joe's tenure expires in May. He will step down as Chairman of the YPP. Executive Committee member tenures are one year, renewable up to three years. (See the Charter and Bylaws)
Veronique indicates that the webpage needs to be updated. Report of the YPP Ambassador to the DPF Committee on Outreach to Government. Chris indicates that there has been disappointingly little activity in this committee. The committee tried to organize a meeting in January but failed. No activity since then.
-->ACTION: Chris will query the committee on status and plans.
The meeting adjourned at 10:40 PST.
